Privacy Policy
Effective August 29, 20261. Scope
This Privacy Policy explains how Signalytix collects, uses, shares, and protects personal information when you use its websites, applications, and services (the “Service”). It applies to Athletes, guardians, Coaches, reviewers, account holders, visitors, and people whose information appears in an Athlete Profile.
2. Information we collect
Information you provide
- account details, such as name, email, role, and profile photo;
- Athlete identity, school, club, sport, position, graduation, and profile details;
- Evidence, Film, testing information, sources, and supporting context;
- guardian authorization, Profile Claims, corrections, and disputes;
- Coach searches, Watchlists, comparisons, alerts, and Ask Signal questions;
- communications and account-deletion or privacy requests.
Information collected automatically
- device, browser, IP address, timestamps, and request metadata;
- authentication, session, security, and audit events;
- feature usage, performance, diagnostics, and error reports; and
- essential cookies or similar technologies used to maintain secure sessions.
Signalytix does not request medical diagnoses, health records, or medical-clearance information as part of the current Service. Do not submit unnecessary sensitive information in free-text fields or media.
3. How we use information
Signalytix uses information to:
- create accounts, authenticate users, and enforce role-based access;
- operate Athlete Profiles, claims, Evidence, Film, and testing workflows;
- review sources and distinguish verified facts from submitted claims;
- provide eligible discovery, Watchlists, comparisons, Signals, and alerts;
- interpret recruiting questions and return evidence-grounded results;
- protect privacy, prevent abuse, investigate incidents, and maintain audit records;
- respond to corrections, disputes, support, and legal requests; and
- maintain, measure, troubleshoot, and improve the Service.
4. Verified facts, AI, and automated processing
With the required consent, Signalytix can send sampled still frames from testing videos to OpenAI for advisory review. Frames can contain identifying details visible in the video. No account name or contact details are included with the frames. AI observations require human verification and are not verified measurements. Guardian acceptance of the separate AI notice is required for videos covered by guardian consent; manual review remains available without it.
Signalytix disables OpenAI response storage. OpenAI's default abuse-monitoring logs may retain submitted content for up to 30 days, subject to the exceptions in its data policy. Provider retention is separate from Signalytix's video deletion schedule. Withdrawal stops future processing and does not erase prior provider logs. This processing does not authorize model training, advertising use, or public sharing.
Signalytix may use automated tools to interpret searches, organize information, identify possible matches, and produce Signals. AI suggestions do not automatically become verified Athlete facts and do not independently grant account access or Profile Authority. Review, authorization, eligibility, privacy, and source rules remain authoritative.
Signalytix does not use private Athlete Evidence to train a general-purpose AI model unless that use is separately disclosed and authorized. Service providers processing prompts or results may act only to provide contracted functionality, subject to applicable controls.
5. When information is visible or shared
- Public Athlete Profile information may be visible to visitors or authorized Coaches only when publication and eligibility rules allow it.
- Private Evidence, raw submissions, account information, and review material are limited to authorized users and personnel.
- Coach Watchlists, searches, and private interest are not disclosed to other Coaches or Athletes as public profile data.
- Information may be shared with service providers supporting authentication, hosting, databases, storage, monitoring, security, communications, and AI processing.
- Information may be disclosed when required by law, to protect safety or rights, to investigate misuse, or as part of a corporate transaction subject to appropriate protections.
Signalytix does not sell personal information for money and does not use personal information for cross-context behavioral advertising.
6. Children and teen Athletes
Athlete information may relate to people under 18, so Signalytix uses privacy-protective defaults and governed Profile Authority. An Athlete under 18 requires the guardian authorization required by Signalytix policy before a profile claim can be approved. Public visibility is separate from account access and profile-management authority.
The Service is not directed to children under 13 for independent account use. Signalytix does not knowingly collect personal information online from a child under 13 without an authorized method of verifiable parental consent. A parent or guardian who believes Signalytix holds information collected contrary to this policy should submit a request through the official support channel identified in the Service.
Teen testing-video consent
Athletes aged 13–17 need explicit testing-video consent from a separately signed-in parent or legal guardian, followed by staff verification of that relationship. The versioned notice and withdrawal controls are available on the Guardian consent page.
Videos collected under this consent stay private and are used for performance processing and authorized review. They are not authorized for public sharing, advertising, model training, or additional raw-video backups. Raw videos are removed from active storage within 90 days of upload, or within 30 days of withdrawal, whichever is earlier. Existing signed playback links expire within five minutes. Consent/audit records and verified measurements are retained separately under the existing retention policy.
7. Legal bases and regional rights
Where required, Signalytix processes personal information based on performance of a contract, consent, compliance with law, protection of vital interests, or legitimate interests such as operating and securing the Service—balanced against individual rights.
Depending on where you live, you may have rights to know or access, correct, delete, restrict or object to processing, receive a portable copy, withdraw consent, limit certain uses of sensitive information, or appeal a decision about a request. You may also have the right to complain to a privacy regulator. Signalytix will not discriminate against you for exercising applicable privacy rights.
8. Your choices and requests
Account holders may update available profile information or request account deletion through Account Settings. Athletes and authorized guardians may use available correction, claim, dispute, and privacy controls. Other privacy requests may be submitted through the official Signalytix support channel identified in the Service.
Signalytix may verify identity and authority before fulfilling a request. Some information may be retained where necessary for security, fraud prevention, disputes, verification lineage, legal compliance, or another permitted exception.
9. Retention
Signalytix retains information only as long as reasonably necessary for the purposes described here, including providing the Service, maintaining source and verification integrity, resolving disputes, protecting users, meeting legal duties, and enforcing agreements. Retention may vary by record type. Deletion or redaction may leave a limited tombstone or audit record when needed to preserve lawful governance and security history.
10. Security and international processing
Signalytix uses administrative, technical, and organizational safeguards designed to protect information, including authenticated access, authorization controls, secure transport, protected sessions, monitoring, and restricted production access. No system can guarantee absolute security.
Signalytix and its providers may process information in the United States and other locations. Where required, appropriate safeguards are used for international transfers.
11. Policy updates and contact
Signalytix may update this Policy to reflect product, legal, or operational changes. Material changes will be communicated through the Service or another reasonable channel, and the effective date will be updated. Privacy questions and requests should be submitted through the official Signalytix support channel identified in the Service.
